JOB PURPOSE

The Welcome Center Administrative Assistant is responsible for providing a welcoming atmosphere and ready assistance and direction to all who contact Brookside in person, by phone, or email. They are responsible for the weekday presence at the Welcome Center and for assisting the staff and key volunteers in secretarial responsibilities.

JOB RESPONSIBILITIES

o    Receive callers on the phone or in person and answer their questions or direct them to the right person or place.

o    Assist callers in need of Benevolence, forward requests to appropriate Deacon and record all requests.

o    Distribute all incoming mail and packages.

o    Keep Welcome Center and workroom organized, neat, tidy and stocked.

o    Maintain supplies for office and staff requests, including keeping workroom stocked with toner and paper.

o    Assist Member & Community Life Coordinator with updating and maintaining member mailboxes and distribution of mail to members.

o    Organize recurring and incoming Brookside announcements in order to produce the bulletin each week. Work with staff and Pastors to produce PowerPoint and production materials for Sunday services.

o    Coordinate and distribute Inside Brookside each week.

o    File and archive all minutes of Council groups as directed by the administrator.

o    Assist members with the use of office equipment such as phones, copier, folder, media duplication and fax.

o    Act as liaison to vendors in regard to phone issues and upkeep of office machines.

o    Organize and maintain all volunteer schedules for Sundays

o    Secure the facility when leaving each day

 

KNOWLEDGE AND SKILL REQUIREMENTS

         Ability to effectively communicate both verbally and in writing.

         Proficient in Microsoft Office, specifically, Word, Publisher and PowerPoint.     

         Knowledge of website management

         Well organized

         Provide a welcoming atmosphere for those who contact Brookside by phone, email or in person, as well as give gracious assistance to staff, members, and guests of Brookside.

EXPERIENCE AND EDUCATION REQUIREMENTS

         High school diploma required

         Previous experience in related field preferred

PHYSICAL REQUIREMENTS

         Frequent sitting, standing and/or walking, bending, climbing stairs, reaching, pushing and/or pulling

         Frequent light lifting or carrying of items up to 25 lbs. and occasional lifting or carrying of items 25 lbs. or more.

         Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth

         Love for the Lord and a willingness to support the ministries of Brookside.

         Member of, or willingness to become a member of Brookside Christian Reformed Church.
