Sunshine Community Church is searching for a new Executive Assistant to our Lead Pastor. Do you love the work of the Church? This person is NOT required to attend our church - you can keep worshipping at Ada Bible most Sundays! Previous church staff experience is not required, as long as the applicant can demonstrate relevant experience and skills gained in other contexts. Training will be provided on the job, along with support and resources from former LPEAs who served here. The Lead Pastor's current LPEA is retiring in late October, and we hope to hire by the end of August so that there can be an overlap for training and on-ramping.

OBJECTIVE:
Provide excellent and efficient administrative and executive support to the Lead Pastor, supporting execution of his key job outputs and facilitating implementation of his vision.
EMPLOYMENT STATUS:
Part-Time Salaried/ Non-Exempt (26 hours per week)
Majority of work will occur TU-TH between 8AM - 5PM
COMPENSATION:
Competitive salary wage. Starting salary offers will be calculated based on a range of $26-$29 per hour, depending on the experience, qualifications, and fit of each applicant.
ACCOUNTABILITY:
The Lead Pastor Executive Assistant (LPEA) reports directly to the Lead Pastor (LP), who reports directly to the Board.
REQUIREMENTS:
- A committed Christian living a life of biblical obedience; beliefs consistent with Sunshine’s statement of faith / bylaws / CRC creeds and confessions
- High school diploma required, relevant Bachelor’s degree preferred
- Strong interpersonal skills, as well as oral and written communication skills for relating to Lead Pastor, staff, volunteers, church constituents, and the general public
- Thorough knowledge of pertinent cloud-based software platforms for Mac, including Office 365 (Excel, Word, Outlook), iCloud (Pages, Numbers, iCal, Mail), and the ability to learn/master ToDoist, Planning Center, etc.
- Able to work independently and initiate problem solving without direct supervision
- Ability to handle multiple tasks at the same time efficiently and accurately
- Ability to manage confidential information appropriately, sensitively handle difficult discussions, and direct challenging people to appropriate resources in a kind manner
- Ability to responsibly manage occasional weekend, evening, and from-home job outputs
- Experience in coaching or mentoring others is preferred
- Membership at Sunshine Community Church is not required; however, upon hire, the candidate must sign a statement of submission to the elder board's governance and church doctrine while serving in the position.
- Attendance at Sunshine Community Church is not required; however, service in this position will ordinarily involve attendance at approximately 8-10 Sunday morning worship services per year, in order to oversee occasional projects, experience congregational culture, and to observe/support Lead Pastor job outputs.
RESPONSIBILITIES:
- General Ministry Partnership (4hrs):
- Attend and joyfully participate in all staff meetings, contribute spiritually in staff devotions, and assist with all-staff ministry training opportunities
- Pray for and with other staff as brothers and sisters in Christ
- Cultivate a personal lifestyle of organic outreach and personal witness by joyfully engaging with our Organic Outreach Leadership Team meetings and trainings
- Lead Pastor Personal Assistance (12hrs):
- Meet regularly with the LP to review his job details and strategize solutions and learn to anticipate / address the LP’s evolving support needs
- Protect the integrity and success of the LP by identifying, pointing out, and problem-solving any situation or circumstance that could endanger the LP’s reputation as transparent, appropriate, and above reproach
- Maintain a relationship of trust and partnership with the LP, such that the LPEA can accurately and discreetly serve as the LP’s proxy in settings and times where he is responsible for the outcome but is unavailable or less suited to the task
- Act as a sounding board for LP brainstorming, verbal processing, and reflection
- Accurately and dispassionately transmit instructions and directions from LP to other staff members related to a wide variety of ministry systems and issues
- Be copied on the LP’s email inbox and discreetly monitor and assist with his response time and follow-through
- Collect, prioritize, and cue requests for information and direction such that the LP is able to provide efficient, timely, and accurate responses to staff and constituents with a minimum of redundancy or wasted time
- Manage schedule for LP, maintaining a complex system of shared calendars of events to track meetings, appointments, study times, etc.
- Organize, screen, and manage requests for meetings, speaking engagements, counseling sessions, etc. according to LP-specified boundaries and parameters
- Set up recurring meetings between staff members and LP, and assist in tracking goals, outcomes, and action steps related to each
- Give the LP effective reminders for upcoming meetings and deadlines and offer assistance in preparing any necessary materials or resources
- Ensure care and preliminary solutions for those waiting on LP responses
- Provide preliminary spiritual care to constituents seeking the LP’s care. This will generally be limited to “triage” help and routing the caller to appropriate staff
- Help LP to manage logistics of monthly elder board meetings and provide occasional support and systems training to the Elder Board and its officers
- Prepare special correspondence and written copy for the LP, typing rough drafts for LP to edit, and then mailing letters and other communications as directed
- Other general assistance to the LP as needed (a few examples):
- setting up meals and reservations for meetings and special events
- Occasionally organize LP travel/lodging as needed
- Manage details involved with bringing in outside speakers for SCC services and events, including communication, travel, and hospitality
- Seasonal All-Church Logistics and Member Services (4hrs)
- Spearhead a team approach to planning and leadership related to special gifts and recognition for Mothers Day, Fathers Day, etc.
- Partner with worship and facility staff to ensure delivery and placement of flowers, decorations, palm branches, etc. on church holidays
- Assist LP and other staff with logistics related to LP-led community outreach
- Oversee Member Services (annual giving statements, church directory initiatives, database integrity, care workflows, etc.) as assigned by LP
- Office Management (4hrs):
- Serve as Direct Supervisor for our Administrative Site Host, meeting weekly to coordinate efforts on all outputs listed below
- Oversee other administrative staff to ensure effective and orderly office operations in accord with church needs and LP vision
- Ensure a fully effective and functional office by:
- Overseeing proper use and data integrity for the church’s data management systems
- Entering LP, Staff, and Board Facility uses into the church’s facility management calendar
- Overseeing systems for the acquisition and storage of common office supplies
- Ensuring the function and adequacy of common office equipment and advising the LP about the same
- Assist the LP by providing leadership and training opportunities for all employees operating at an Administrative Support Staff level:
- Ensuring clear and effective schedules and systems for the sharing of basic duties and tasks common to all administrative support staff
- Enhancing communication and relational unity among such staff through regular personal interaction, encouragement, and prayer
- Identifying and addressing misunderstandings, disputes, or inefficiencies among such staff lovingly and proactively
- Lead Pastor Human Resource Assistance (2hrs)
- Assist and partner with the LP in managing communications, documentation, logistics, planning, and details associated with the LP’s management of HR, including (but not limited to) his duties of:
- interviewing/hiring/on-ramping new team members
- discipline/disputes on staff
- restructuring/termination/off-ramping of existing staff
- Assist and advise the LP in communications and logistics related to the monitoring of staff performance, including annual performance reviews
- Maintain accurate and up-to-date personnel files for church employees
- Assist the LP in maintaining and annually revising the Employee Handbook and explaining HR policy annually to all employees
- Serve as LP proxy to interpret HR policy to employees and answer basic questions related to payroll policy, insurance benefits, PTO balances, etc.
- Assist the LP in ongoing monitoring of staff compliance with HR policy
- Assist the LP in creatively maintaining a nurturing staff culture where employees are recognized, cared for, invested in, and blessed
