Job Title: Receptionist-Bilingual

Department: Medical Services

Reporting Relationship: Patient Process Manager

Required Hours: Full Time; Non-exempt, 36 hours

Days Worked: Monday, Tuesday, Wednesday, Thursday and ½ day Friday

Position Summary: Primary role is to provide full-time administrative support to the Medical Services staff, inclusive of administrative duties and patient interaction. Receptionist is responsible for welcome area and waiting room, setting the stage for a professional, confidential experience. Also responsible for some phone services, greeting and registering patients and visitors. This person should be familiar with all patient services offered in order to provide general information to patients via text and phone conversations.

Specific Responsibilities:

Patient Relations:

  • Welcomes patients and visitors, in person or on the telephone; answers or refers, if necessary, for inquiries

  • Works reception desk; knowledgeable of the processes for pregnancy testing, ultrasound appointments, and STD testing

  • Schedules appointments when other staff are unavailable and sends patient reminders for appointments

  • Assists with patient follow-up as directed

Administrative Duties:

  • Works closely with the Patient Process Manager, staff, and volunteers regarding patient flow, patient needs, and day-to-day schedules

  • Responsible for daily office opening and closing procedures, including stocking patient care areas and preparing patient charts, as well as overseeing the waiting room and reception areas

  • Provides administrative support to Medical Services Director and others as directed

  • Understands the importance of confidentiality, adhering to the confidentiality policy, as well as following critical policies and procedures regarding texting and follow-up with patients

  • Represents the PRC at community and networking functions as requested

  • Attends staff meetings, Medical Services Department meetings, PRC Prayer Summit, and other all-staff events as requested

  • Provides nurturing atmosphere for staff, volunteers, and patients

  • Other duties as assigned

Position Requirements:

  • Proven fluency in Spanish and English, with the ability to read and compose correspondence and documents in both languages 

  • Previous work experience with diverse populations, cultural competence

  • Previous work experience in human services or ministry

  • Detail focused

  • Has organizational skills

  • Able to learn, teach, and inform

  • Knowledge of community services

  • Understanding of client confidentiality

  • Able to build and retain relationships

  • Team oriented, independent thinker

  • Ability to remain focused and calm under pressure of multiple tasks and interruptions

  • Proficient in smart phone usage, texting, Microsoft Office, Word, Outlook, Excel, and database software
