Soccer Buddies Coordinator
Overview:
Soccer Buddies is growing, and we’re looking for a detail-oriented, compassionate, and empowering team member to help lead in-facility operations and provide vital administrative support. The Soccer Buddies Coordinator will take ownership of coaching logistics, day-to-day execution, and site-level support while also assisting with sales follow-up, family account questions, and other behind-the-scenes responsibilities.
This is a leadership role for someone who thrives on structure, loves helping others grow, and isn’t afraid to take initiative. A flexible schedule is essential, as weekday evenings and weekends are when most classes take place. This position is part-time and will steadily build toward 30 hours per week, with potential to grow into a full-time leadership role depending on interest and performance
RESPONSIBILITIES:
Team Leadership & Scheduling

Create, manage, and communicate weekly lineups and daily success plans for each location

Coordinate with site leads and managers to ensure smooth day-to-day operations

Support staff and operations during weekday evenings and weekends

Adapt to dynamic seasonal schedules and respond to real-time needs at sites
Coach Development & Training

Train new coaches and monitor their growth through shadowing and in-class support

Model best coaching practices and provide in-the-moment guidance to elevate performance
-
Grade coach training packets, ensure completion, and lead in-person training sessions

Assist with updating training resources (e.g., video demos, class outlines)
Performance & Accountability

Monitor coaching quality and consistency across sites

Lead check-ins or provide follow-up feedback to coaches as needed

Collaborate with site managers to address performance issues and uphold standards

Assist with preparing and scheduling bi-annual coach review
Recognition & Communication

Assist in tracking and organizing coach performance data to support raise and promotion decisions

Communicate updates and expectations clearly and positively to staff
-
Facilitate feedback systems such as Google reviews or parent input collection
-
Create motivational tools for coaches like mini competitions or recognition boards
Administrative & Customer Support

Assist with sales calls and text outreach to new leads and families who’ve attended trials

Assist with family account needs (e.g., class switches, missed class rescheduling, cancellations)

Assist with communicating and resolving billing issues in a warm, helpful, and professional way

Assist with organizing ActiveCampaign notes, sales follow-ups, and nurture messages

Support internal documentation, checklists, and reporting to the Director of Soccer Buddies
A Typical Week in This Role:
This role includes a mix of in-person coaching support and administrative work, with the majority of hours scheduled during weekday evenings and weekends. Some weekday class hours vary seasonally, so during quieter seasons, additional time may be spent on admin work. Here’s an example of what a typical week might look like:

Monday | 12:00–4:00 PM – Admin work before classes

*4:00–8:00 PM On-site support during evening classes at our Grand Rapids location

*Tuesday | 4:00–8:00 PM – On-site support during evening classes at our Hudsonville or Muskegon location

Wednesday | 9:00 AM–4:00 PM – Admin day: sales calls, planning, coach communication, scheduling, etc.

*Thursday | 5:00–8:00 PM – On-site support at either our Hudsonville or Schoolcraft location

Saturday | 8:30 AM–12:30 PM – On-site support at one of our five class locations

12:30–2:00 PM – Admin work following morning classes

*Sunday | 1:30–4:15 PM – On-site support during afternoon classes at our Grand Rapids location
*Mondays, Tuesdays, Thursdays, and Sundays classes are flexible based on class needs/availability

Experience in early childhood education, coaching, customer service, or program coordination is a plus
