Title: Mentor & Volunteer Program Coordinator
Salary Level: Full time, hourly, non-exempt
Location: Grand Rapids Office
Location Classification: In Office
Reports to: Senior Director of Domestic Operations
Supervisory: No direct reports
Travel: None
Function: Serve and assist volunteer mentors in their ministry of reviewing Bible study lessons and encouraging students through letters. Recruit, Onboard, and manage data side in of in office volunteers.
Mentor Communications
· Field phone calls and e-mails from mentors with questions about the mentoring program and respond in a timely manner.
· Assist mentors with logistical questions on how to properly review lessons, report student progress, and use the online mentor portal.
· Coach mentors on interactions with students, how to navigate the website/mentor portal, and other miscellaneous items.
Mentor Activity Coordination
· Process mentor requests for materials, vacation time, and concerns about their students.
· Handle mentor mail returns and address related concerns and issues.
· Collaborate with team to keep track of mentor activity through reports and statistics as needed.
· Collaborate with team to maintain reports for unreported scores and on-hold mentors.
· Assign volunteer mentors to students for one-on-one courses (Tier 2 and Tier 3)
· Input, retrieve and maintain accurate information in database system.
· Develop, equip, empower and collaborate with Volunteers to assist with function and completion of activities of position and goals of department.
Mentor Retention and Recruitment
· Assist with mentor recruitment and onboarding process.
· Review mentor applications and send training material to prospective mentors.
· Recruit Tier 2 and Tier 3 mentors; maintain available pool from current mentor pool.
· Follow up with mentors at 4-week mark inviting them into one-on-one mentoring.
· Review and approve mentor applicants for Tier 3 courses.
· Follow up with mentors at 10-week mark with reminder communication.
Office Volunteer Retention and Recruitment
· Lead, develop and execute effective volunteer relations strategy
· Consult with staff to identify volunteer needs and compile volunteer (office or remote) opportunity descriptions
· Introduce potential volunteers to ministry via office tour or coordinated events
· Identify, develop and implement creative avenues to share office volunteer opportunities both remotely and in West Michigan
· Interview, onboard and help facilitate orientation with new office volunteers as they are passed to the team they will report too.
· Plan and execute quarterly events for volunteer appreciation
· Coordinate logistics of special events, including: facility, food service, registration, communication, budget, setting of the agenda, hosting, minutes and coordinating needed supplies and technology – including timely communication throughout the timeline of the event in collaboration with PM. Coordinate with Executive assistant.
· Utilize volunteer management software to schedule volunteers, identify volunteer needs and keep accurate data.

Experience:
- Prior work experience in an office environment, preferably working with volunteers.
- Customer service experience an asset, but not required.
- Excellent computer skills in a Microsoft Windows environment, including Excel and Outlook. Familiarity working with CRM databases helpful.
- Associates or Bachelor’s Degree preferred.
