Job Description
Material Resources Coordinator

Position title: Material Resources Coordinator
Position type: Staff (part-time, hourly at approximately 20-24 hours per week)
Department: Development
Reports to: Community Engagement Manager
Basic function of position: The Material Resources Coordinator oversees the Material Resources department of Alpha Grand Rapids (AGR) and works alongside the Development team to assist in church engagement strategy efforts and other projects to advance the AGR mission.
Major Duties and Responsibilities
Inventory management
· Establishes and maintains a comprehensive inventory system to ensure incoming and outgoing donations are sorted, counted, and accurately recorded in a timely manner
· Receives material resource donations from donors
· Manages the inventory system to ensure quality items are placed in the store for clients to shop every day and essential items are always available
· Maintains a resources-needed list for distribution to churches, individuals, and other organizations to ensure there is an effective day-to-day supply of inventory
· Communicates with the Community Engagement Manager when items need to be purchased or acquired in a different way
· Ensures that the attached and detached garages and the basement are kept in an organized manner and coordinates with volunteers to move items from these places to the store when appropriate
· Manages the assembly and distribution of baby bags
· Prepares monthly inventory reports using an effective system to collect data
· Tracks material resource donations received from companies, organizations, and churches in AGR donor software
· Analyzes donations received compared with donations given and reports major variances
· Manages all aspects of budget, expenditures, and tracking for Material Resources
Volunteer management
· Partners with the Community Engagement Manager in matters relating to volunteers: communicating volunteer needs, writing volunteer job descriptions, interviewing potential volunteers, selecting volunteers, and coordinating volunteer appreciation
· Communicates policies and procedures to volunteers and provides orientation for new volunteers
· Builds relationships with volunteers and supports them in their roles
· Assigns and supervises the work of volunteers, ensuring that they are provided with the tools needed to perform tasks efficiently
· Coordinates tasks for groups of one-time volunteers to complete (ranging from 5-50 people)
· Communicates with and instructs volunteer groups
· Assists in coordinating volunteers for special events that benefit Material Resources and arranges for pick-up of donations from such events (e.g., winter coat and toy drives)
· Ensures that all volunteer hours are recorded and submitted in a timely manner
Other
· Provides weekly prayer requests and monthly stories and quotes to the Marketing Director
· Assists with stories, quotes, photos, and videos for quarterly and annual publications and events
· Covers the front reception desk on rare occasions
· Promotes and attends spring and fall fundraising events
· Participates in all required staff meetings
· Performs other duties as assigned by supervisor
Qualifications for the Position
Education: Bachelor’s Degree encouraged but not required
Reliable transportation: Occasionally transports donated items from donor locations or shops for out-of-stock items
Prior work experience: One-three years of experience performing administrative and inventory management duties
Language proficiency: English required
Skills and abilities
· Strong organizational and administrative skills, including inventory management and marketing skills
· Proficiency in Microsoft Office (Outlook, Word, Excel)
· Strong verbal, written, and interpersonal communication skills
· Ability to interact well with both individuals and groups from a variety of ethnicities and backgrounds
· Excellent public speaking skills to be able to talk to groups ranging from 5-50 people
· Supervisory and management abilities
· Ability to lift up to 50 pounds

Supervision exercised: 20-30 regular volunteers as well as groups of one-time volunteers
Time to perform full range of duties after entry into the position: Six months
