Educational Services Manager

Position title: Educational Services Manager
Position type: Staff (part-time, hourly)
Department: Educational Services
Reports to: Women’s Center Director
Basic function of position: The Educational Services Manager is responsible for developing and managing the six educational classes of Alpha Grand Rapids (AGR): ESL, GED, Parenting, Pregnancy Education, Spanish Support Group, and Single Mom Support Group.
Major Duties and Responsibilities
Management
-
Provides managerial support, direction, and supervision to Educational Services Associate and Childcare Associate

Supports all direct reports through regular check-ins, as well as quarterly reviews, ensuring individual work objectives achieve organizational strategic priorities

Conducts yearly written and oral evaluations
Volunteer management

Partners with the Community Engagement Manager in matters relating to volunteers: communicating volunteer needs, writing volunteer job descriptions, and updating Galaxy

Works alongside Educational Services Associate to interview and select potential volunteers and to coordinate volunteer appreciation

Develops policies, procedures, and orientation materials for volunteers

Builds relationships with volunteers, supports them in their roles, and empowers them to serve clients well

Fills in to teach a class, when needed, along with the Educational Services Associate

Ensures that all volunteer hours are recorded and submitted in a timely manner
Program management
-
Guides and assists the teachers as they choose and/or implement curricula, including scheduling special speakers (often from community partners) and providing needed materials
-
Plans and executes a yearly program schedule to ensure a smooth operation of the educational classes

Works with the Educational Services Associate to make sure classes have appropriate teachers each week, and stepping in to teach, if necessary

Builds and fosters strategic community partnerships to facilitate mutual referrals and collaboration

Purchases supplies for Educational Services

Analyzes distinct clients and client visits to ensure program sustainability, in conjunction with the Ed Services Associate
-
Develops, measures, and tracks program outcomes – KPIs – in conjunction with the Ed Services Associate
-
Coordinates special events for classes, i.e. ESL’s Thanksgiving Luncheon, GED Graduation, etc.
Client management
-
Provides general referrals to clients based on need (medical, food, housing, jobs, etc.)

Supports the Educational Services Associate with clients, whenever necessary

Pulls visit data to make informed program decisions

Creates policies and/or class contracts for each program
Administrative
-
Provides weekly prayer requests and monthly stories and quotes to the Women’s Center Director and/or Marketing Director
-
Assists with stories, quotes, photos, and videos for quarterly and annual publications, events, and regular social media posts
-
Pulls and provides monthly visit numbers for Ed Services programs
-
Manages all aspects of budget, expenditures, and tracking for Educational Services
-
Works with the Development Director to provide data from programs for grants
Other
-
Works with Marketing department to create promotional materials for classes

Promotes and attends spring and fall fundraising events

Participates in all required staff meetings
-
Takes part in professional development as desired, recommended, or required

Performs other duties as assigned by supervisor
Qualifications for the Position
Education
-
Bachelor’s Degree in Education, Social Work, Ministry, Communications, or other related field
-
In the absence of a degree, an additional three years of equivalent experience is required
Prior work experience: Two-three years of progressive experience in the educational field, preferably in nonprofit organizations
Language proficiency: Bilingual (English/Spanish) desirable
Skills and abilities

Strong organizational, administrative, and managerial skills

Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)

Strong verbal, written, and interpersonal communication skills

Comfortable speaking before small and large groups

Ability to handle multiple responsibilities at once, manage time well, and take initiative

Ability to work independently and interact with other staff members

Ability to interact well with both individuals and groups from a variety of ethnicities and backgrounds

Supervision exercised: Supervises Educational Services Associate and Childcare Associate, coordinates with Educational Services Associate to oversee 20-30 volunteers, coordinates with Childcare Associate to oversee 20-25 volunteers
Time to perform full range of duties after entry into the position: Six months
