Educational Services Associate

Position title: Educational Services Associate

Position type: Staff (full time, hourly)

Department: Educational Services

Reports to: Educational Services Manager

Basic function of position: The Educational Services Associate is responsible for coordinating and facilitating the logistics of the six educational classes of Alpha Grand Rapids (AGR): ESL, GED, Parenting, Pregnancy Education, Spanish Support Group, and Single Mom Support Group.

 

 

Major Duties and Responsibilities

 

Volunteer management

·         Oversees volunteers in Educational Services, including teachers, tutors, shopping assistants, and childcare workers

·         Schedules volunteers for each class, and in the absence or lack of volunteers, fills in as needed

·         Communicates policies and procedures to volunteers and provides orientation for new volunteers

·         Builds relationships with volunteers, supports them in their roles, and empowers them to serve clients well

 Program management

·         Contacts clients interested in the program, fills openings in classes, maintains a waiting list, and tracks communication with clients

·         Schedules shopping days in AGR’s store each month with the Material Resources Coordinator

·         Ensures all rooms used for Educational Services are clean and ready for use prior to classes, and that the rooms are cleaned and put back in order when classes are finished

·         Maintains connection in creative ways with Educational Services clients throughout the summer (i.e. summer picnics)

 

Client management

·         Recruits clients for classes and plugs them into classes

·         Interviews and provides orientation for prospective or new clients

·         Builds relationships with clients and supports their growth and learning

·         Makes weekly reminder and follow-up texts or calls to clients

·         Maintains contact with clients on the waiting list, as well as clients who have been absent

·         Awards Alpha Bucks and shops with clients

 

Administrative

·         Keeps attendance records of both clients and their children

·         Enters both attendance and benefit information in WayCool software

·         Assists with providing weekly prayer requests, as well as stories, quotes, photos, and videos for quarterly and annual publications and events

 

Other

·         Serves as back up to the Client Services Associate, covering the front desk when necessary

·         Promotes and attends spring and fall fundraising events

·         Participates in all required staff meetings

·         Takes part in professional development as desired, recommended, or required

·         Performs other duties as assigned by supervisor

 

Qualifications for the Position

 

Education

·         High school diploma required

·         Some college education desired

 

Prior work experience: Two years of experience performing administrative management duties and responsibilities, preferably in nonprofit organizations, as well as experience in relationship building

 

Language proficiency:

·         English required

·         Bilingual (English/Spanish) desirable

 

Skills and abilities

·         Strong organizational, administrative, and managerial skills

·         Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)

·         Strong verbal, written, and interpersonal communication skills

·         Comfortable speaking before small and large groups

·         Ability to handle multiple responsibilities at once, manage time well, and take initiative

·         Ability to work independently and interact with other staff members

·         Ability to interact well with both individuals and groups from a variety of ethnicities and backgrounds

 

Essential requirements

·         Demonstrated emotional and spiritual maturity

·         Committed Christian who faithfully attends a local church

Nature and level of contacts: Employees, volunteers, clients, and the general public

 

Supervision exercised: Coordinates with Educational Services Manager to support 30-35 volunteers

 

Time to perform full range of duties after entry into the position: Six months
