Position: Administrative Assistant
Purpose: The Administrative Assistant acts as the front desk receptionist for St. Mark Lutheran Church and provides overall administrative support to the church and preschool office.
Qualifications:
· Excellent written and verbal communication skills, including exceptional spelling, proofreading and grammatical skills
· Excellent typing (50 words per minute)
· Proficiency in Microsoft Publisher and PowerPoint and basic knowledge of Microsoft Word and Excel, social media platforms and database software
· Ability to learn specialized software
· Strong organizational skills and the ability to multitask, able to deal with multiple interruptions in a courteous manner
· Courteous telephone etiquette and working knowledge of multi-line phone system
· Ability to maintain confidentiality in all matters
· This is a non-member position
Primary Duties and Responsibilities:
· Receive, sort and distribute daily mail and packages. Check email and reply as needed.
· Greet and direct visitors; answer incoming calls, direct or take messages as needed
· Layout, type and edit publications; working with ministry staff to compile weekly worship bulletins, weekly news, and monthly newsletter
· Complete all announcement slides, worship slides, special program slides
· Enter weekly attendance and communion
· Order Sunday altar flowers as needed
· Building and event scheduling (room requests) approve/coordinate building usage; maintain calendar of events; distribute room keys and maintain key log
· Handle all updates to the website, Facebook and other social media platforms, working with staff to maintain current/accurate information
· Maintain telephone system ensuring that the information line with Worship times are correct
· Notifies Pastor(s) and Elder(s) of hospital or other illness calls
· Compile voters’ assembly information packet (agenda, ministry reports, financial reports, election info, proposal info and recommendations, etc.)
· Publish updated membership directories semiannually (after voters’ meetings)
· Coordinate arrangements for baptisms, weddings and funerals (including but not limited to information gathering, mailings and scheduling, notification of appropriate staff and volunteers, preparation of certificates and funeral bulletins)
· Compile reports for elders – family lists, ministry referrals, sufficient event reminders, 4 week absent reports, etc.
· Revise and update membership statistics and complete quarterly and yearly statistic reports
· Type membership letters to members and congregations for transfers/releases; provide membership statistics as requested by member or receiving congregation
· Assist with the organization and maintenance of all church files. This includes but is not limited to all membership and student files
· Create and assemble visitor information packets
· Schedules new member reception, prepares elder information folder
· Schedules all ushers, greeters, elders, sound console attendants, tellers, bulletin assemblers
· Helps to recruit volunteers, maintains volunteer database
· Produce needed membership and attendance reports and mailing labels as requested for members and students
· Maintain all school enrollment forms
· Prepare and distribute enrollment packets
· Create class lists and emergency contact lists
· Record absences in the school and report to the health department
· Prepare and submit immunization report for the preschool school to the County
· Prepare student records and arrange for their transfer to or from other schools
· Handle student injuries and emergencies according to school policy
· Assumes responsibility for any other duties assigned by the Church Administrator
Accountable to: The Administrative Assistant is accountable to the Church Administrator.
Hours: Monday – Friday, approximately 30 hours per week
