Job Title: Administrative Assistant

Position Type: Hourly, part-time

Department/Group: Support Staff/Reports to Executive Director

Education Required: High School Diploma/GED, college degree preferred

Location: Grand Rapids, Michigan

Travel Required: Intermittent local travel

Level/Salary Range:$16-$18/hr.

Hours:15-20 hrs./week

Technical Skills Required: Microsoft Office, Google Workspace, email, internet, social media

Skills Preferred: Data management systems (donor CRM or case management software)

King’s Table provides supportive services, enrichment opportunities, and community connections in public center-based special education schools, Adult Foster Care (AFC) group homes, and in the community.

We are looking to hire an experienced, self-directed part-time Administrative Assistant to join our team. The qualified individual will be responsible for supporting the Executive Director, our staff, and volunteers with day-to-day operations and for overseeing the general administrative duties in the office.

Duties & Responsibilities:

Greet guests at the front desk and ensure they receive the best in customer care.

Answer phone calls and emails in a timely manner and direct them to the appropriate team member.

Sort and distribute mail in a timely manner to the appropriate team member.

Maintain calendars, schedule appointments, and coordinate staff and other meetings; ensure meeting locations, catering/food, and technology needs are scheduled/reserved.

Assist with event planning setup and implementation.

Draft, edit, and distribute documents including letters, memos, mailings, and reports; prepare communications, mailings, reports, and enclosures accurately from instructions for mailing or electronic distribution.

Prepare meeting agendas, information, data, and packets as requested.

Attend meetings for the purpose of taking and transcribing minutes in an accurate, professional, and timely manner.

Ensure management is informed of key deadlines and issues.

Order office supplies and provides operational support for equipment and office needs.

Maintain filing system for correspondence, business matters, and other related data.

Provide clerical assistance and instruction to the team as needed.

Coordinate and oversee facilities-related projects, and ensure the overall facility is maintained in a safe and functional manner.

Maintain strict confidentiality.

Other duties as needed.

Detail-oriented, accurate, and possesses general office knowledge.

Excellent interpersonal, organizational, planning, and project management skills.

Excellent verbal and written communication skills.

Prior administrative experience.

Strong computer skills in platforms such as Microsoft Office and Google Workspace, with the ability to learn management software systems. (Donor CRM and Client Data Management Systems)

Desire to be proactive and create a positive experience for others.

Able to work independently and efficiently, with the ability to multitask.

Able to seek self-improvement to develop shortcomings.
