Job Title: Bilingual (English/Spanish) Client Services Assistant

Department: Support Services (SS)

Reporting Relationship: Support Services Director

Required Hours: Part Time; Non-exempt, 26 Hours

Position Summary: The primary purpose of the Support Services Bilingual (English/Spanish) Client Services Assistant position is to work with clients and volunteers in programs at the Support Services (SS) office, attentive to but not limited to Parenting Workshops; providing general information about the center and its services for clients. This position will also include reception/administrative duties as necessary.

Specific Responsibilities:

General:

  • Meet with English/Spanish clients (face-to-face or advocate phone calls)

  • Build relationships with clients through SS programs and knowledge of local community resources

  • Support clients at the Blessings from Heaven Boutique for material assistance

  • Accountable for the Blessings from Heaven Boutique guidelines to ensure clients are properly being checked out

  • Accountable for documenting client charts on the database system for PRC SS programs

  • Accountable for fulfilling assigned parenting program guidelines and obligations

  • Accountable SS parenting program workshop registration, class reminder, class follow-up and complete necessary paperwork

  • Responsible for producing and updating monthly parenting program-associated power points

  • Accountable for all aspects of SS programs, teaching/instruction opportunities

  • Manage classroom atmosphere (virtual or face-to-face) to be conducive to learning

  • Accountable for maintaining approved online program and follow through with the program process

  • Communicate with SS Program Specialist and SS Director concerning the program schedule and topics

  • Accountable for monitoring the online virtual program website for completed courses and schedule material item pickups

  • Responsible for updating monthly parenting program-associated forms

  • Provide program feedback and/or ideas to SS Program Specialist and SS Director for the continual improvement of Support Service programs

  • Remain informed on current local relevant community resources

  • Assist with restocking the Blessings from Heaven Boutique

  • Fulfill assigned office cleaning duties to maintain a clean working environment

Client Relations:

  • Abide by the PRC’s policy for client confidentiality

  • Follow-up with clients when necessary

  • Solve issues with challenging clients with love and compassion

  • Solicit and maintain photo release forms when applicable

  • Remain informed and up-to-date on current local and essential community resource

  • Inform SS Director of problems and concerns relating to the PRC SS programs

  • Assist with donation intakes in the warehouse area

 

Reception/Administrative Duties:

  • Answer incoming telephone calls, schedule appointments, check-in clients

  • Check voice mails, emails, and text messages; respond as required

  • Forward messages to an appropriate staff person(s), and change client messages as needed

  • Greet donors and take in donations, write thank you notes to donors, provide receipts

  • Make calls and send texts to confirm appointments

  • Enter scheduled client appointments in the database, edit upcoming appointments

  • Keep the reception area, lobby bathrooms, and atrium tidy; wipe down windows and counter surfaces at the end of the day and as needed throughout the day

  • Complete and file appropriate paperwork associated with the position (client charts, CPS reports, client follow-up forms, time sheets, staff performance evaluations, etc.)

 

Position Requirements:

  • Demonstrated bilingual abilities required (English/Spanish – written, verbal)

  • Excellent organizational skills

  • Passionate about the needs and spiritual growth of single moms/dads

  • Good communication (verbal/written) and interpersonal skills

  • Willingness to learn, teach and inform

  • Able to provide spiritual leadership, discipleship, and support to volunteers and clients

  • Understands and models servant leadership

  • Proficient in Microsoft Office, Word, Outlook, and database software

  • Knowledgeable in Google documents, forms, and presentations

  • Familiar and/or willing to learn Zoom, Google Meets, and TEAMS

  • Self-starter, able to work independently in a fast-paced environment

  • Physically able to lift 25 lbs

  • Ability to maintain confidentiality while working with highly sensitive data; client confidentiality

  • Attend staff meetings and training sessions as required and associated with the position

  • Assist and/or attend PRC events (Gala, volunteer events, Walk for Life, etc.) when directed by SS Director

  • Represent the PRC and SS with professionalism to clients, donors, volunteers, and community partners
