The Opportunity
The Paralegal/Executive Assistant will serve as a hands-on liaison to provide high quality concierge services and pro-active administrative support for the Vice President & General Counsel – RDV Corporation and the Director of Relationship Management. The Paralegal/Executive Assistant will assist in cultivating excellent communication, efficient processes, and a superior collaboration between the employees, family members, and external partners that they serve.

What You’ll Do

  • Provide administrative support for the Vice President & General Counsel – RDV Corporation and the Director of Relationship Management including
    • Calendar management
    • Meeting scheduling, coordination, and preparation
    • Travel arrangements
    • Document and file management
    • Expense reporting
    • Project work
  • Handles multiple priorities and deadlines with exemplary follow through and confidentiality.
  • Exhibits foresight and initiative in recognizing potential problems, needs and/or inefficiencies, and pro-actively proposes alternative, creative, and innovative ways to best accomplish superior outcomes.
  • Provide project support and coordination for a variety of projects related to legal matters and otherwise, including research, planning, reporting, creating timelines, tracking, follow up, and in some cases project leadership.
  • Assist with the facilitation and coordination of on-site events, employee events, and special meetings.
  • Organize and accurately maintain files, facilitate items that require approval/signature, and manage data.
  • Write, proofread and/or edit as appropriate legal correspondence and documents as assigned.
  • Maintain contract management system, seek to renew/update contracts as needed.
  • Create dockets for legal matters to ensure efficient workflow, ease of access to documents, and effective time management.
  • Support corporate governance activities.
  • Oversee the Power of Attorney process for G3 households as assigned. Maintain and update forms, coordinate various signatures, and handle paperwork.
  • Receive and distribute incoming mail; follow through on correspondence as appropriate.
  • Assist with special projects as assigned. Provide general support and assistance to other office staff members as assigned.


What You’ll Bring

  • Associate degree and a minimum of five years administrative support experience required; professional office experience preferred.
  • Familiarity with common legal terms and documents.
  • Experience reviewing contracts and maintaining a contract management system.
  • Excellent writing and communication skills.
  • Ability to handle multiple priorities and deadlines with exceptional attention to detail, organization, confidentiality, and follow through.
  • Self-starter with excellent problem-solving, critical thinking, and analytical skills; high degree of initiative and intellectual curiosity.
  • Demonstrated excellent interpersonal and communication skills, both written and oral with the ability to interface with a diverse array of audiences and stakeholders.
  • Strong judgment and comfort-level working with confidential, sensitive, and proprietary information, as well as an uncompromised commitment to the highest level of confidentiality.
  • Ability to get along with diverse personalities and a desire to work in a cross-functional team environment.
  • Must demonstrate a high degree of integrity, ethics, discretion, and dedication to the mission of the organization.
  • Demonstrated proficiency in Microsoft Word, Outlook, Excel, and PowerPoint; database experience preferred.
  • Must be able to work an irregular schedule, evenings or Saturdays as needed, with additional hours as required.
