Job Description

Administrative / Office Management / Clerical - Part-time

 General Position:


The purpose of the Office Coordinator is to keep the day-to-day operations at Encounter organized and consistently improving through the implementation of new systems, paying bills, managing communications, and overseeing the facility.  The OC supports all staff members.


Scheduled hours are flexible between Mon-Thurs 9a-5p but consistent from week-to-week.


The Office Coordinator role is  20 hours per week. This position reports to the Executive Pastor.


Position Requirements: 


      • Organized, independent, and entrepreneurial
      • Ability to  manage several weekly responsibilities including paying/coding bills, uploading message video, tracking attendance, inputting slides for use in worship, manage facility use requests, and respond to phone/email inquiries 
      • Proven innovative and resourceful solutions to the challenges of a growing church
      • Confidence in learning new software to streamline systems such as: Planning Center, Canva, Youtube, iMovie, Mailchimp, Dropbox, Aplos, and the Google suite of apps (voice, calendar, drive, sheets, etc.)
      • Maturing and ongoing personal relationship with God


Position Description: 


    • Coordination of Communication
      • Gather information to publish weekly e-newsletter; weekly prayer collective email; and Lead Team updates
      • Respond to general church email, voicemail, and walk-in requests; as well as specific inquiries submitted via Connections Cards and online forms
      • Actively maintain the Planning Center People database and relevant attendance records
      • Upload the video of the message every week


    • Manage the Church Office
      • Pay bills and reimbursements, while keeping financial records and assisting in maintaining the church budget
      • Serve as the point person for grounds keeping operations; mailing; and supply acquisition
      • Procure supplies as requested by staff and volunteer team leads
      • Manage master facility-use schedule and church calendar, including supervision of facility rental requests and events
      • Offer a hospitable and knowledgeable presence during three days of office hours


    • Participation in Other Staff Responsibilities
      • Possess an understanding of, passion for, and commitment to the mission, vision, and values of Encounter Church 
      • Support work of other staff members (e.g. curriculum prep, event set-up, etc.)
      • Spiritually support and encourage other staff members 
      • Other tasks as assigned by supervisor
